‘1. Project Documentation & Information Management
Receive, store, and manage all documents and project-related records from the Executive Board.
Control, archive, and issue design drawings and shop drawings for all disciplines (structural, finishing, infrastructure, MEPF) in accordance with internal procedures.
Draft official letters, correspondence, and documents as directed by the Project Management Board.
Schedule and arrange appointments, meetings, business trips, and prepare meeting minutes for the Project Department.
Systemize and manage documentation for the Construction Management Department and the Project Management Department.
Distribute documents, track, and update the approval status of issued records and signed submissions.
Consolidate and prepare daily/weekly/monthly progress reports for the project.
Monitor and remind project members to complete tasks according to plans and management directives.
2. Coordination with Contractors and Partners
Act as the focal point for receiving and managing documents and submissions from contractors/partners.
Coordinate with consultants and contractors to ensure proper handover procedures for documents and records in compliance with regulations.
Qualifications: College degree or higher, preferably in Secretarial Studies, Administration, or related fields.
Minimum 3 years of experience as a Project Secretary in civil or infrastructure construction projects.
Intermediate English proficiency (listening – reading – writing).
Proficient in MS Office and document management software.
Strong planning and scientific document filing skills.
Good communication skills and effective coordination with stakeholders.
Basic knowledge of construction and project documentation management processes.
